VENDOR HANDBOOK

Terms and Conditions

All vending space Purchases are final, non-transferable and non- refundable.  Full payment is required to reserve a vending space.   This event will be held rain or shine

As a Vendor in the event, I/We agree to adhere to the following:

1. There will be NO MUSIC PLAYED in any form from any booth, without special written permission from event  management. Vendors violating this provision will be removed from the festival. No refund will be given. 

 2. There will be no sale of guns, ammunition, survival weapons, pepper gas, tear gas, etc.

3. No counterfeit merchandise such as knockoff versions of tapes, clothing or other items will be permitted.

4. Vendors participate at their own risk and take full responsibility for all of their products and equipment, personal safety, lost and sales. The Sweet Auburn Springfest is not responsible for any items that are missing or lost from your vending area. 

5. All Vendors  must be set up and ready for business 30 minutes prior to the start time of the event.

6. All vehicles must be removed from festival area 60 minutes before the start of the event or they will be towed at the owners expense.

By submitting this application vendor agrees with the above terms and conditions.

Event  management reserves the right to close exhibits for failure to comply with event rules.

The Sweet Auburn SPRINGFEST dates are May 11 - 13.  The location is the Historic Auburn Avenue District.  The Festival is within the Atlanta downtown business and the ML King/Sweet Auburn Historical Districts.

For vendors and sponsors the set up and festival hours are:

Set-up Times: FRIDAY 10 AM - 4 PM SATURDAY 7 AM - 9AM  
SUNDAY
10 AM - 1 PM

All Vendors will be notified of their space location approximately 2 weeks prior to the festival.  Notice will be called and sent by email.  Those that do not have email will be faxed or called.  

Upon arrival Vendors should report to their assigned space to set up. 

All Merchandise Vendors are Required to have a WHITE Tent. No WHITE tent, NO SETUP.

Vendors who have not been assigned a space should report to 236 Auburn Ave for vending space and credentials. 

All Vehicles must be unloaded and immediately removed from the festival area. All vehicles must be removed from the festival area by 9:00 AM on Saturday. Vendors arriving after 9:00 AM on Saturday will not be permitted to drive into the festival area.

Festival Hours:  
FRIDAY 5 PM - 10 PM SATURDAY 10 AM - 9 PM  SUNDAY
2 PM - 9 PM

 

Spaces will be assigned first based on the prior year participation and the venue, i.e. food vendors will be in one of the 3 food courts, Health related vendors will be in the Health and Fitness Fair, etc. 

The Festival Committee has the final say on the assignment of spaces.

Vendors are responsible for their own tables, chairs, tents/canopies/umbrellas and electric. 

The Festival is held on city streets, the ground surface is either concrete or asphalt.

OFFICIAL VENDOR ID AND SIGNAGE MUST BE DISPLAYED AT ALL TIMES VENDORS CAN NOT PARTICIPATE WITHOUT OFFICIAL SIGNAGE

Food Vendors: The Festival Permit covers all food vendors.  No other license or health permit is needed, however All food vendors are to set up in keeping with Fulton County requirements.    All Food vendors must provide a ground cover to cover the complete area under their space.  No ground cover, no set-up.   All grease must be properly disposed of in barrels provided or vendor will be immediately ejected from event.

Alcohol, soda and water sales prohibited.

Booth Spaces will be inspected by the festival staff and Atlanta Fire inspectors.  If booths are not in compliance with fire and health standards it is subject to being shutdown.

Food vendors must have the following items:

  • High Grade Fire Extinguisher - 2A, 20, B:C portable fire extinguisher required.  In good working condition with current inspection tag.

  • Propane Tanks must be secured, barracked and placed away from cooking area and public contact - LP gas cylinders at least 10 feet away from tent.  

  • Mesh Food Net either around tent or food area keeping insects and bacteria from spoiling food.

  • Charcoal and other solid cooking fuels conducted outside of structure

  • Combustible materials not stored within 3 feet of open flames

  • Paper Towels

  • Water Container for washing hands and utensils

  • Soap

  • Trash Bags - vending area must be kept clean and neat at all times

Food vendors should be prepared to discontinue cooking new food approximately 30 - 45 minutes prior to the shutdown time of the festival.  The festival will end promptly at the designated time each evening.

Hotel: Sheraton Atlanta Hotel - To reserve a room, tell them you are with the festival and your room will receive a room at a discounted rate.

Parking: Lot parking and limited street parking is available in the immediate area.


Security: Ample security will be on site during the festival hours (Atlanta & Fulton County Off Duty Police). Overnight security will not be on-site, vendors are responsible for their own overnight security.
Some vendors leave large items such as Tents, Tables and Chairs. All items should be removed.
